Frequently Asked Questions
What tasks can my VA handle?
Virtual assistants can manage nearly any non-clinical duty: schedule appointments, confirm reminders, verify insurance, handle billing, return phone calls and emails, enter notes into EMR/EHR systems, chase pre-authorizations, submit claims and prepare reports. They can also assist with referral coordination, supply orders and light marketing. If it doesn’t require a professional license, they can probably do it.
Who are the assistants?
Our VAs are highly educated professionals—many are registered nurses or overseas dentists—with experience in healthcare workflows. They have at least a bachelor’s degree, are fluent in English and pass rigorous screenings. Each VA is trained in AI tools to boost efficiency and understands HIPAA obligations. You work with the same assistant every day for consistency.
How much does it cost?
We charge a flat $10/per hour with no hidden fees or long-term contracts. Billing is weekly and you only pay for the hours worked.
Is my data secure?
Yes. All assistants are HIPAA-certified and trained in confidentiality. We use secure communication channels and limit employee access to customer information. Your data remains private even if you discontinue the service.
How do we communicate?
Your VA works U.S. hours and adapts to your preferred channels (phone, email, Slack/Teams or video calls). We can set up a dedicated U.S. phone line so your VA calls patients as if they were in your office. Daily updates keep you informed, and our team is available for support.
What if it’s not a good fit?
If your assistant isn’t meeting expectations, we will provide additional training or promptly replace them at no cost. Our satisfaction guarantee includes a refund if you’re not happy in the first week.
