Go Home at 5 PM — We Handle the Paperwork

A dedicated assistant — amplified by AI agents — handles your calls, scheduling, billing, and insurance. Same person every day, working smarter with automation, for a flat $10/hour. You focus on patient care and get your evenings back.

  • Flat $10/hour
  • No setup fees, no long-term contracts
  • HIPAA-trained

The model

One assistant. A team of agents.

Your dedicated assistant

Owns the judgment calls

One accountable person who learns your practice — your providers, your payers, your patients. They handle anything that touches a patient or money: the phone conversations, the billing decisions, the insurance follow-ups that need a human read.

Their AI agents

Handle the repetitive volume

Behind your assistant, AI agents work through the high-volume routine — confirmations, data entry, claim status checks, report prep — so the human hour you pay for goes into the work that actually needs one.

Not a rotating call center. Not a faceless bot. One person you know, backed by automation that never gets tired.

About us

Started by a dentist who wanted his evenings back

I never set out to start a virtual assistant company. As a practicing dentist, I hired my first VA to help with calls, insurance and paperwork and was amazed by the results — my days ran smoother, my patients received faster responses, and I still made it home for dinner.

I loved working with these hard-working individuals so much that I wanted other healthcare practitioners to experience the same relief. Practice Ready Assistant was born from that simple idea: if virtual assistants could transform my practice, they could transform yours too.

Our assistants are more than task-doers; they become trusted partners who anticipate needs, fill gaps and help your practice run smoothly. They are educated professionals with healthcare backgrounds, and we train every VA in AI tools like ChatGPT, Copilot and Google Workspace.

FAQ

Frequently Asked Questions

What tasks can my VA handle?

Virtual assistants can manage nearly any non-clinical duty: schedule appointments, confirm reminders, verify insurance, handle billing, return phone calls and emails, enter notes into EMR/EHR systems, chase pre-authorizations, submit claims and prepare reports. They also support referral coordination, supply orders, and marketing activities when no professional license is needed.

Who are the assistants?

Our VAs are highly educated professionals — many are registered nurses or overseas dentists — with experience in healthcare workflows. All possess bachelor's degrees, speak fluent English, pass rigorous screening, and receive training in AI tools and HIPAA compliance. You work with the same assistant daily.

How much does it cost?

We charge a flat $10 per hour with no hidden fees or long-term contracts. Weekly billing applies, and payment covers only hours actually worked.

Is my data secure?

All assistants are HIPAA-certified and trained in confidentiality. We use secure communication channels and limit employee access to customer information. Data protection persists even after service termination.

How do we communicate?

Your VA works U.S. hours and adapts to your preferred channels — phone, email, Slack/Teams or video calls. Dedicated U.S. phone lines are available for patient calls, with daily updates provided.

What if it's not a good fit?

We offer free retraining or replacement, plus a refund within the first week if you're unsatisfied.

How quickly can we get started?

Fill out a short form about your practice and we respond within 24 hours with a consultation. After you interview and select your assistant, they get trained on your systems and start handling tasks immediately.

Do I get to choose my assistant?

Yes. We present a shortlist of vetted VAs tailored to your specialty — you interview the candidates and select the assistant you want to work with.

What happens if my assistant is sick or unavailable?

We monitor quality throughout the engagement and provide backup support if your assistant is unavailable, so your practice keeps running.

Are there setup fees or long-term contracts?

No. There are no setup fees and no long-term contracts. Billing is weekly and covers only the hours actually worked.

How many hours per week can I hire for?

Scheduling is flexible — most practices start with 30 or 40+ hours per week, arranged across US mornings, US afternoons, a split schedule, or whatever fits your office.

Can I scale hours up or down as my needs change?

Yes. With weekly billing for hours actually worked and no long-term contracts, you can adjust coverage as your practice's needs change.

What types of practices do you serve?

We serve medical and dental practices across the United States — including general practice, orthodontics, oral surgery, and multi-specialty clinics.

Can my VA answer patient calls on a U.S. phone number?

Yes. Dedicated U.S. phone lines are available for patient calls, and your VA works U.S. hours on your preferred channels — phone, email, Slack/Teams or video — with daily updates provided.

What AI tools do your assistants use?

Every assistant is trained in AI tools like ChatGPT, Microsoft Copilot and Google Workspace automation, so they work smarter and faster on drafting, reporting and repetitive admin.

How much can I save versus hiring in-house?

The rate is a flat $10/hour, which typically saves 60–70% versus a full-time hire once wages, taxes, benefits and overhead are counted.

Who trains the assistant on our software?

Your VA gets trained on your systems during onboarding, and many already have hands-on experience with healthcare workflows and EMR/EHR data entry. We monitor quality as they ramp up.
